Data Deletion Instructions

Roster Sync Pro ("RSP") provides the following instructions for requesting deletion or redaction of personal data associated with your RSP account, workspace, public profile, booking customer records, or connected Meta/WhatsApp integration.
Request deletion or redaction by email
Email privacy@rostersyncpro.com with the subject "Data deletion request" or "Data redaction request" and include:
- The email address used for your RSP account.
- The workspace or company name, if applicable.
- Whether you are requesting deletion of your account, a workspace, staff data, booking customer data, or a connected Meta/WhatsApp integration.
- For booking customer requests, the customer name, email address, phone number, WhatsApp number, booking date, or other details that help us locate the matching booking or customer contact record.
- Any details that help us verify your authority to make the request.
We may ask for additional information to confirm your identity or authority before deleting or redacting data. We respond to deletion and redaction requests within 30 days, subject to legal, accounting, security, billing, and dispute-resolution retention obligations described in our Privacy Policy.
Booking customer data
For verified booking customer-data requests, RSP may redact customer-identifying details from active booking and customer contact records while retaining operational booking history for the workspace. Redacted details may include customer names, email addresses, phone numbers, customer notes, internal notes, reusable customer-contact links, WhatsApp customer identifiers, linked WhatsApp messages, Flow submissions, notification delivery details, and prior manager notification text where those records are connected to the matched booking customer record.
RSP may retain operational booking details such as booking date, time, party size, status, source, lifecycle events, and de-identified reporting data. RSP does not create public customer login accounts for bookings. Technical logs, raw webhook events, backups, fraud or security records, audit records, and records needed for legal, billing, or dispute-resolution purposes may be retained as described in the Privacy Policy.
Meta and WhatsApp integration data
If you connected a Meta or WhatsApp Business Platform account to RSP, you may request deletion of the integration data stored by RSP, including connected WhatsApp Business Account identifiers, phone-number identifiers, webhook status, access tokens, setup metadata, and related booking-channel configuration.
You can also remove RSP from your Meta Business integrations or WhatsApp Business Account settings where Meta provides those controls. Removing access in Meta stops future authorization, but you should still contact us if you want RSP-held integration records deleted.
Workspace and booking data
Workspace owners may request deletion of their workspace data, including staff records, schedules, attendance records, payroll handoff records, public profile content, booking records, and booking customer contact data. Booking customer data may be handled through redaction rather than deletion of the underlying operational booking record. Some records may be retained or de-identified where required by law or where necessary for security, billing, audit, operational reliability, or dispute-resolution purposes.
